Everything a school office runs on

One platform, built in modules

Turn on what your school needs today. Add the rest as you grow — every module shares the same login, the same records, and the same security model.

Attendance & Class Coverage

Daily attendance, absence patterns, and a substitute-friendly coverage workflow for when a teacher is out.

Priority Announcements

Send routine updates or true emergencies with different urgency levels, translated into a family's home language when it helps — and know exactly who received them.

Forms, Signatures & Payments

Drag-and-drop forms with e-signatures, conditional logic, and built-in payment collection — fill out in-app or publish publicly on your own website, with spam & bot protection built in.

Fees, Billing & Online Payments

Invoicing, recurring fees, and online payment collection for tuition, meals, trips, and more — one ledger, not four spreadsheets.

Volunteer Management

Track background-check status, sign-ups, and hours for every parent and community volunteer on campus.

Field Trips & Transportation

Plan trips, collect permissions and payments, and track rosters against bus manifests in one place.

Visitor Management

License-scan check-in, watchlist screening, and printed badges at the front desk — know who's on campus, always.

Emergency Reunification

A structured, auditable release workflow for emergency dismissals — every child, every guardian, every release logged in real time.

Academic Year Archiving

Roll into a new school year without losing the last one — every student's enrollment history preserved, not overwritten every fall.

Faculty & Staff Directory

A searchable staff directory with photos, roles, and departments — kept current automatically as staff change.

Mobile App for Staff & Families

A true native app for iOS and Android — not a bolted-on web view — with Face ID / Touch ID app-lock, so a shared or misplaced phone never means an open school record.

Secure Family & Student Records

A single record per student, visible only to the staff and guardians who are supposed to see it — enforced by role, not convention.

After School Care

Parents request it, Secretary-level staff approve it, and every child is tracked arrived → with caregiver → picked up — with same-day requests flagged for immediate attention and a built-in family message thread that always includes the front office.

Clubs & Activities

Run clubs with the teachers and parents who already have accounts — or bring in an outside coach or community volunteer with a brand-new, Secretary-approved login of their own, scoped to exactly that club and nothing else.

Accessible by Design

Built and tested against WCAG 2.1 AA — full keyboard navigation, screen-reader labeling, and visible focus states throughout, so every family member and staffer can actually use it.

Built for real school days

Not just the demo — the Monday morning rush, too.

Most school software looks great in a sales call and falls apart at 7:45am, when the front office is checking in 400 students, the phone is ringing, and three forms are due by first period.

MyGradewell is designed around that reality: one login for staff and parents across web and mobile, records that don’t contradict each other between modules, and an interface your least technical staff member can use without a training manual.

  • One system of record — attendance, forms, and messaging all reference the same student and family data, so nothing goes stale in a second spreadsheet.
  • Web and mobile, from one account — office staff on a desktop, teachers and parents on their phones, all seeing the same data in real time.
  • Migration that doesn’t derail your year — we work with you to bring over existing rosters and records instead of asking your staff to re-enter everything by hand.
Why we built it this way

Schools don’t want to relearn a new system every time a vendor changes hands or a contract lapses. So MyGradewell is built module by module, on a plain, stable design — the goal is a system that’s still simple, and still here, five years from now.

Why schools switch

Built for how schools actually work today, not a decade ago

Most school management software was designed for a desktop-only office and sold with a license model to match. Here’s where that shows, and what we did differently.

Comparison of typical legacy school software against MyGradewell, by category
Category Typical legacy school software MyGradewell
Pricing Typical legacy software Hidden behind a "contact sales" form and a sales call MyGradewell Published per-student rates, right on this page
Mobile experience Typical legacy software A web page squeezed into a phone screen, added years later MyGradewell A true native app for iOS and Android, built in from day one
Getting your data in Typical legacy software Months-long migration projects and manual re-entry MyGradewell Guided rostering import, with a real person helping
Support Typical legacy software A ticket queue and a case number MyGradewell Founder-led, US-based support that answers
Licensing Typical legacy software One all-or-nothing license, whether you use it all or not MyGradewell Modular, pay only for the features you actually turn on
Attendance — early warning

“3 students are trending toward chronic absenteeism this month, up from 1 last month. Two have unexcused-absence patterns concentrated on Fridays — worth a quick check-in before it becomes a compliance issue.”

Insights & family communication

Numbers that tell you something, in the language every family reads

Every chart and narrative below works the moment you turn a module on — no API key, no extra cost, no setup. Connect your own AI provider later if you want a richer written narrative; the free numbers never disappear behind that choice.

  • Chronic-absenteeism early warning — students trending toward an attendance problem are flagged automatically, before it becomes a state-reporting issue.
  • Plain-English summaries on Forms, Volunteers & Fees — response counts, top choices, and payment status written up automatically, with a one-click deeper narrative when you want it.
  • Multilingual announcements — preview and publish any announcement in a family’s home language, so language is never the reason a household misses something important.

Security & compliance

Built with student data privacy at the core

Under FERPA and most state student-data-privacy laws, your school — not your software vendor — is ultimately responsible for how student records are handled. MyGradewell’s job is to give you the technical controls that make meeting that responsibility straightforward, not an afterthought bolted onto a spreadsheet.

Role-based access control

Every account — front office, teacher, nurse, parent — sees only the records their role permits. Access isn't a matter of trust; it's enforced by the system on every request.

Full audit trail

Sensitive actions — who viewed a record, who changed it, who released a student — are logged with a timestamp and an account. If you ever need to answer "who accessed this," the answer already exists.

Two-factor authentication

Staff accounts can require a second factor at login, so a leaked password alone is not enough to reach student data.

Modern, breach-checked passwords

We require a real minimum length and screen every new password against known data breaches — not security-theater rules like forced monthly resets that just push people toward weaker, easier-to-guess passwords.

Automatic inactivity sign-out

Every school sets its own idle timeout. An unattended front-office computer signs itself out — enforced by our servers, not just a browser tab that can be left open.

Encrypted in transit

All traffic between your staff, your families, and MyGradewell is encrypted over HTTPS/TLS — never sent in the clear.

Per-school data isolation

In our multi-tenant deployments, one school's records are logically walled off from another's. Your data is never visible to, or mixed with, a different school's account.

Spam & bot protection

Public forms and website embeds are protected against automated abuse before a submission ever reaches your staff's inbox.

Ongoing internal security review

We run our own internal security reviews against the platform on a regular cadence and treat every finding as a fix, not a future roadmap item.

Accessible by design

Built and tested against WCAG 2.1 AA — keyboard navigation, screen-reader support, and focus management are requirements, not an afterthought.

Least-privilege roles for every helper

An outside club coach or an after-school caregiver gets an account scoped to exactly that job — never a backdoor into the rest of your student data.

Oversight that can't be switched off

Certain family-facing message threads automatically include your front office staff, with no setting to remove them — oversight by design, not by policy memo.

On FERPA, specifically: MyGradewell is architected to support the access controls, audit logging, and data-handling practices schools rely on to meet their FERPA obligations, and we’re glad to sign a data privacy / data-sharing agreement as part of onboarding. FERPA compliance is a shared responsibility between MyGradewell and your school’s own policies — we don’t claim a formal “FERPA certification,” because the law doesn’t issue one to vendors. We’ll answer any question your district’s counsel or IT team has, in plain language.

Pricing

Simple, modular pricing — pay only for what you use

Every school is different. Instead of one all-or-nothing license, MyGradewell is priced by module — a 200-student parish school and a 2,000-student district both pay for exactly what they turned on, nothing more. And unlike most school software, our prices are right here — no “contact sales” maze required.

$75/month minimum · No setup fee · Month-to-month — no contract lock-in · Payment processing passed through at cost
